Terms and Conditions

Thanks for checking out Nexleon CRM. There are some fundamentals you should understand before you get started. Consider this to be the beginning of our collaboration. You can view our expectations of you here.

These terms are accepted by all users of Nexleon CRM, regardless of whether they have signed up for the full experience or are just testing it out. You promise to follow the rules when you register. Additionally, you are attesting to the veracity and accuracy of the information you provide us. Before continuing, take a moment to review anything that seems unclear or about which you are unsure. These terms are fair, unambiguous, and simple to understand.

The Definition of Nexleon CRM

Nexleon CRM is a cloud-based platform built for small and medium businesses. It brings everything together — client management, project tracking, invoicing, support tickets, and team coordination — all in one place.

When you subscribe, you’re not actually buying the software. Rather, you pay for the duration that your subscription is active to access our platform. This implies that while you are able to utilize all features for the duration of your subscription, you do not possess the software code or other intellectual property.

Furthermore, your access to Nexleon expires when your subscription does or if we close your account for violating any of our policies. We’ll go over how to safely create and manage your account below.

How to Begin: Registering for an Account and Setting Up Your Account

Creating Your Account

Setting up Nexleon is simple, but there are a few things you should know.  First, you have to be at least sixteen, and only real people/humans can create accounts—no bots or scripts allowed. That’s how we keep things safe and cut down on spam. When you register, just give us a working email and some basic business info. We only ask for what we need to get your account going.

We only ask for what is necessary to set up your account properly. Each person or business can register for one free trial only. If you’ve already used a trial, you cannot create another under a different name or email.

It’s Your Duty to Secure Your Account

Protecting your account becomes your responsibility once it is active. Keep it a secret and use a strong password. Never post login credentials online or share them with anyone outside of your team. It is your responsibility, not ours, if someone gains access to your account because your password was shared or haphazardly saved.

We are aware, though, that teams require a variety of users. Our user management system allows you to set up individual accounts for each team member. There are a set number of user slots included in each plan, and you can upgrade if more are required.

What You Are Able to Do and Are Not

You may only use your Nexleon account for authorized business purposes. It must not be used for any unlawful, damaging, or dishonest purposes. For instance, you are unable to

  • Distribute viruses, malware, or malicious code
  • Send unsolicited bulk emails or spam.
  • Reverse-engineer, hack, or alter the software
  • Copyright violations or stealing of another person’s work
  • Make fictitious accounts or pretend to be someone else.
  • Take part in fraudulent or scam activities.

Furthermore, everything that occurs under your account is your responsibility. There will be consequences for your account if you or a team member of yours breaks these guidelines. These conditions may appear strict, but this keeps everyone at Nexleon safe.

Comprehending Your Billing and Subscription

How Prices Are Determined

Nexleon uses a subscription-based business model with clear pricing. You’ll see exactly what’s included and what you’re paying when you select a plan with no unexpected or hidden fees.

Prices, however, are subject to change over time. As technology and business expenses change, we may need to modify our prices. You will be given at least 60 days’ notice if we raise prices. This enables you to determine whether the updated pricing suits your needs. Price increases won’t impact you until your renewal date if you’re on an annual plan.

Prices do not include taxes. You might have to pay sales tax, VAT, or other taxes depending on where you live. The exact amount owed before purchase will be determined by our billing system, but taxes are your responsibility.

Durations of Commitment and Renewals

Most subscription plans have a minimum commitment of 1 month. This keeps our prices competitive and helps us maintain our infrastructure. You will still be responsible for the remaining costs if you cancel early.

Subscriptions automatically renew for the same length of time after your commitment period. Although you can cancel at any time or renew with another plan on offer, this avoids service interruptions.

If there are any interruptions, questions, problems, or difficulties with your purchase/plan/service, we request that you contact the support staff rather than cancel the plan.

Methods of Payment and Processing

Most debit and major credit cards are accepted via the Stripe gateway.  You consent to automatic billing based on your plan when you subscribe. We can charge your card when balances drop if you have auto-recharge enabled for additional features or credits.

But payment failures do occur—banks block transactions; accounts run out of money, or cards expire. To fix the problem, we’ll get in touch with you. Account suspension or termination could result from persistent failures.

Refund Policy: When Can You Receive a Refund?

We want to be clear because we know that getting a refund can be difficult. Only when all of these requirements are fulfilled will you be eligible for a complete refund:

  1. You can’t use Nexleon’s essential features because of technical issues.
  2. You have reported these issues to our support staff.
  3. Our team has verified the problem and cannot fix it within 72 hours.

For us to properly investigate your account, you might need to give us access. It is likely that Nexleon software, not your hosting, browser, or internet connection, is the source of the problem you are experiencing.

If you block our support team from getting the access they need, you’re not eligible for a refund since if we can’t see and analyze the problem, we are unable to fix it. Also, if you switch to another tool or just change your mind, we don’t offer refunds. Once you’ve paid, those subscription fees are non-refundable unless we’ve said otherwise.

Features, Restrictions, and Equitable What Your Plan Involves

What’s Included in Your Plan

Each subscription tier comes with its own set of features and limits. Your plan decides how many user accounts you can add, the amount of storage you get, how many email accounts you can use, and which advanced tools are available to you.

Switching to a pricier tier plan works any time, with added tools turning on right away. But stepping down to a low-tier plan is not possible once a higher-rate plan has already been purchased. Your selected subscription plan locks in the moment you make payment. This kind of system prevents users from abusing the platform by attempting to change plan tiers to avoid paying the bill and then quickly switching back to a low-tier one.

Data Storage and Disk Space

Each plan includes a predetermined amount of disk space for storing uploaded documents, customer files, and company data. To guarantee equitable use for all clients, we keep an eye on usage. We might ask you to upgrade or delete files that aren’t needed if you frequently use more space than you have.

In order to free up server space, we may also erase all your data if you cancel your subscription or if we terminate your account. Although this may seem severe, inactive accounts cannot remain active indefinitely, and server storage is not free. We always provide adequate notice, so you have time to export your data, so don’t worry.

Email Addresses and Accountability

Your plan may come with business email accounts tied to your domain. These aren’t cluttered personal inboxes—they’re for professional use. Use them responsibly. No spam, no mass marketing, and definitely no abusive messages.

We watch suspicious activities. If something looks off, we might pause your email service while we investigate. If the problem keeps happening, we’ll have to shut your account down for good.

Instruction and Assistance

Every new Nexleon customer gets initial training about the use of CRM platforms, either face-to-face at our office or through a video call. The actual duration and scheduling of such a session depend on when our team’s available, so there’s a bit of flexibility there.

Once you’ve finished training, you’ll always have access to our knowledge base and support documents. Need extra help? Reach out by email, live chat, or ticket. Just know that response times vary depending on your plan and how tricky your question is.

Your Data, Your Responsibility

Who Owns Your Information

All of the information you input into Nexleon, such as client lists, project timelines, and financial data, belongs to you. We only store it and give you tools for managing it. You are in charge of ensuring that your data is accurate, compliant with the law, and appropriate for your business.

It’s up to you to keep your data accurate, legal, and right for your business. If you’re gathering personal info — things like names or email addresses — you need to stick to privacy laws. Rules like the GDPR must be followed all the time. Get clear consent before you collect anything and keep up with the latest privacy regulations. Nexleon gives you tools to help out, but at the end of the day, you’re the one responsible for getting it right.

GDPR Compliance and Privacy

Nexleon is your data processor under the General Data Protection Regulation (GDPR).  The controller of the data is you. Interpretation? You are responsible and make decisions. You must:

  • Obtain consent before gathering personal information.
  • Inform people about the use of their personal data.
  • Permit users to view, edit, or remove their data upon request.
  • Process data for a legitimate purpose.

Our goal is to make this simpler. Consent tracking, privacy policy templates, cookie notices, and data request handling tools are all integrated into Nexleon. Through specific pages, your contacts can even edit or remove their own information.

Data Loss and Backups

We work hard to protect your information. We have disaster recovery plans in place and regularly back up our servers; however, no system is flawless. Outages, bugs, and even significant failures are possible outcomes. And it is the crucial juncture at which you become responsible. Regardless of the cause, Nexleon is not responsible for lost data. Always have backups of everything you need. Export important data on a regular basis and keep copies outside of Nexleon. Don’t rely solely on us if your company’s data is unique; have a backup plan of your own.

Intellectual Property and Usage Rights

What You Can Use

We own all of the code, designs, graphics, logos, and help documents that you see on Nexleon. Although you do not own these tools, you are granted permission to use them for your company when you sign up.

You can spread the word about Nexleon as a partner or affiliate by using our logos and marketing collateral. Within reasonable bounds, we permit that. Please refrain from altering our branding, passing it off as your own, or using it in ways that might mislead others about your affiliation with us.

What You Cannot Do

We take intellectual property seriously. Here’s what’s off-limits:

– Copying, duplicating, or sharing any part of Nexleon’s code

– Reverse-engineering the software

– Selling or reselling access without our written okay

– Creating spin-off products based on Nexleon

– Removing or hiding our copyright or branding

– Using Nexleon to build a competing platform

Each license is good for just one domain or installation. If you want Nexleon for more businesses or websites, you need more licenses. Running multiple operations on one license breaks our rules and can get your account shut down.

Reselling and White-Label Restrictions

Thinking about reselling Nexleon? You’ll need a reseller license.  Even then, we have strict boundaries.

You can’t sell Nexleon on big marketplaces like Envato, CodeCanyon, AppSumo, or any site. You also can’t offer Nexleon as a download for customers to install themselves. The software stays hosted on our approved servers, and people access it through our cloud only.

If you have a reseller license, you must pay us a percentage of your earnings, as specified in our contract, within 10 days of receiving our invoice. Failure to pay will result in the immediate termination of your reseller privileges.

Service Availability and Technical Requirements

What We Guarantee

We promise 99% server uptime each year. That means, except for about 3.65 days, you should have access to Nexleon. Planned maintenance doesn’t count against this—we’ll let you know ahead of time when those are coming.

If we ever fall short of that 99% uptime, you can request compensation for up to one month’s service. Just make sure you document the downtime and show it wasn’t caused by your own systems.

What You Need

To get the most out of Nexleon, your team needs reliable tech. You’ll need computers or devices with stable internet—at least a 1 Mbps download speed (faster is always better). Make sure to use a modern browser: Chrome, Edge, Firefox, or Safari. We don’t support old browsers like Internet Explorer—they’re just not secure or up to date.

It’s also up to you to keep your devices and the internet working. If your team can’t get online because of a local outage or malware, that’s on you—not us.

Changes to Terms and Services

When We Update These Terms

Business conditions change, laws evolve, and we may need to update these terms as per the requirements that arise. Nexleon CRM reserves the right to modify any of them anytime. However, we do not make changes lightly and consider how updates affect our customers.

When updated, new terms take effect immediately upon publication. Nevertheless, we notify active subscribers about significant changes via email or announcements on the Nexleon dashboard. Continued platform use after updates indicates acceptance of the new terms.

Service Modifications

As the platform grows, we change things up. Sometimes features get old, better options become available due to advancements in technology, or we just run into technical roadblocks that may demand stripping the feature off. We understand the new feature’s introduction, or the removal of any of the existing ones, can also shake up how everything else works.

Therefore, in actuality, we make an effort to alert you before any significant changes occur. However, it is possible that you may miss communication unknowingly. Also, the tools that appear for you are determined by your plan. In case you modify your plan, in such a scenario, what you can use in terms of tools and features may also change.

Cancellation and Account Closure

How to Cancel

When Nexleon no longer meets your business needs, go directly to account settings and choose the “Cancel Subscription” option—as simple as that. But here’s what happens next: if you pay each month and stop in the middle of the cycle, full access remains active until the billing date. Even with yearly payments, ending early does not cut things short—use everything up until the last day. Access doesn’t totally disappear until the timer goes off.

No Partial Refunds

Whether you pay monthly or annually, you will never get your money back if you leave early. If a full year is paid for, but only half of it is utilized, the unused amount is forfeited. Even the opportunity to depart on time is lost if Nexleon’s rules mentioned in this terms and conditions policy are broken, lies are told, or policies are disregarded. In those circumstances, refunds vanish entirely. There are no compromises or relaxation on these rules.

What Happens to Your Data

After cancellation, your data remains accessible until your subscription expires. Once access ends, we begin the data deletion process. Typically, there is a short grace period for exporting your information, but this window may be limited.

Additionally, canceled accounts are not guaranteed to persist indefinitely. If you return later, restoring old data may not be possible. Export all important files before your subscription ends.

Liability Limitations and Legal Protection

Understanding Our Liability

Even with careful design and strong safeguards, technical issues, downtime, security incidents, or data problems can happen. However, our liability is limited in important ways.

We are not liable for:

  • Indirect, incidental, or consequential damages
  • Loss of profits or business opportunities
  • Data corruption or loss
  • Service interruptions or downtime
  • Security breaches caused by third parties
  • Issues from your own misuse of Nexleon

Moreover, even if we are found legally responsible, total liability cannot exceed the fees paid during the 12 months preceding the incident. For instance, a $50/month plan caps liability at $600.

Your Responsibility for Legal Compliance

It is your responsibility to operate Nexleon in accordance with local laws, regardless of the nation to which you belong. You may have questions about data and information management in terms of your duty as per law. For this, examine the privacy laws, tax requirements, and industry-specific laws of the jurisdiction in which you reside or use Nexleon CRM. Export laws are equally important. You are expected to pay for all of our costs as well as any fines that may be imposed if an issue arises that takes us to court.

Dispute Resolution

The first step in resolving disputes should be sincere negotiation. However, we understand that not all disputes end amicably. If disagreements are complex, they are resolved through arbitration or the legal system in the jurisdiction where our business is registered.

Additionally, you acknowledge that any legal claims must be submitted within a year of the problem’s emergence. Regardless of their merit, claims made after this time are automatically void.

Special Provisions for Specific Features

Messaging and Communication Tools

Messages in Nexleon are sent via chat, pinned updates, emails, or direct client alerts. They are not designed in principle to bombard inboxes with noise or blast advertisements, but to have honest conversations when needed. Every piece connects seamlessly, whether it’s from desk to desk or company to person. Tools silently perform a single task: enabling others to express what needs to be expressed.

It is to be noted that behavior that goes too far without respecting the general expected guidelines increases the likelihood of being blocked. Sending too many pointless updates (messages, notifications, or posts that a user sends through Nexleon’s communication tools) could result in your profile being marked without warning. Limits gradually accumulate when feeds are misused too frequently. Repeatedly occurring complaints and issues eventually may lead to permanent lockdown of message functions.

File Storage and Uploads

Nexleon allows you to upload a variety of file types, including PDFs, documents, and photos. However, there are some limitations. You are unable to upload:

  • Viruses, malware, or dangerous executable files
  • Unprotected copyrighted content
  • I legal, obscene, or inappropriate material
  • Large files that put a strain on the system

We might also check uploaded files for security flaws. Accounts may be suspended while an investigation is conducted, and malicious content may be deleted right away.

Custom Fields and Data Extensions

You can store additional data in custom fields with Nexleon. Despite its strength, this flexibility needs to be used carefully. Custom fields should only be used to enter legitimate business data; sensitive information that could jeopardize security or privacy should be avoided.

Additionally, system performance may be impacted by an excessive number of custom fields. If your configurations affect other users, we may request optimization or reduction.

Getting Support When You Need It

How Support Works

A member of our staff will guide you through any challenging circumstances. When a tool breaks, they can explain what might be happening rather than fixing it directly. Yes, inquiries are addressed, but only in relation to how the system functions. The day-to-day tasks are your responsibility; they are not. They solve problems without assuming your responsibilities.

Nexleon CRM team responds as soon as possible if your request is straightforward, like in the matter of minutes or hours rather than days. Speed of response regarding your queries or complaints depends on the nature of your request and your current configuration with us. If the issue turns out to be more complex, resolution may take longer, and it may take a full day or two while we work out the details; however, you can always count on us to deliver on the promise of quality support.

Contact Information

If you need help with Nexleon CRM or have questions, just reach out using the contact details in this document. Use these channels for support, questions, or anything official.

Severability

If a part of these Terms turns out to be invalid, illegal, or can’t be enforced under the law, we’ll treat that part separately from the rest. Everything else stays in effect.

  1. For US Users: If a provision isn’t valid or enforceable, we’ll adjust it so it fits the law but still matches what we meant. These Terms are the full agreement between Nexleon CRM and you, and they replace anything we agreed on before about the same topic.
  2. For EU Users: If a part of these Terms doesn’t hold up legally, we’ll both try to replace it with something that comes as close as possible to what we intended and that the law allows. If that’s not possible, we’ll use the relevant legal rules instead. Only the invalid part is affected—unless that part is essential or removing, it would make things unreasonable.

Governing Law

The laws where Nexleon CRM is registered apply to these Terms, no matter what conflicting legal rules might say.

Prevalence of Local Law

If your country’s laws offer you stronger consumer protection or other rights, those local laws come first, even if these Terms say otherwise.

Venue of Jurisdiction

If there’s a dispute about these Terms, only the courts where Nexleon CRM is registered will handle it, as specified here.

In actuality, these regulations mentioned in the terms and conditions have a purpose. They create a formal contract between Nexleon and you.

By using Nexleon CRM, you agree to these terms. They outline our commitments to you as well as your obligations, in addition to our privacy statement and associated materials.
